Live Webinar Q&A: Using SharePoint Search for Corporate Email Governance

Last Wednesday I conducted a Webinar entitled "Using SharePoint Search for Corporate Email Governance". The Webinar was well attended with an great audience who asked terrific questions. The following topics were covered:

The Q&A session is below:

1. Will your search product work with Office 365/BPOS?
BA Insight will fully support Office 365 when it is released.

2. Can you set up an ongoing search that automatically adds/save emails that meet certain search criteria?
This can be achieved by leveraging SharePoint's Search Alert feature and BA Insight's Longitude. Search Alerts enable you to save a search. A new email is created or received that match the search, the owner of the alert will receive notification of this. BA Insight's Longitude provides the user with the ability to save a copy of the email and attachments off to a work space. From the workspace, the user can create a report or export the email/attachments out for further review.

3. Does it matter what version of MS Office you are using to use your product?
Longitude supports all versions of MS Office.

4. Do you happen to have a connector to Symantec's Enterprise Vault?
Yes we do.

5. What about connecting to other Microsoft products?
We currently provide connectors for Exchange and Dynamics. Our SQL connector can connect into additional Microsoft products.

6. Would love to get information about the partner program.

7. Are additional iFilters required?
Additional iFilters are only necessary if you have document attachments which are out of the norm. In this situation you would need to load the iFilter on SharePoint or FAST so that it would be included in the index.

8. How do you license your search software and connectors?
They are two separate but complimentary products. The advanced user interface is based number of users and search servers (excluding database). The connectors are priced differently based on type. 9. Can SharePoint 2010 Search connect to Exchange Managed Folders?
Support for Managed Folders is scheduled for Q4 2011.

10. What is the footprint of the index and it ratio compare to the original content source. FAST or SharePoint?
They differ a lot. Given 30k mailboxes it would be Fast. Assume 5-15% for fixML and indexes

11. What are the size limits of the indexes. Per item?
No limit, but we usually block over 50MB sized emails. SharePoint can handle up to 100Million emails, FAST has no limit

12. For legal purpose, we would like to keep all email for a period of time. Is there a possibility to save the indexes ?
We don't preserve the actual email, just a reference to it with extracted text. You can't save indexes, but you could block deletions of items from the index.
